The Brief: Using Registration Data to Shape a New Facilities Management Event
KPM Media, publishers of Facilities Management Journal (FMJ), had spent years working closely with event organisers in the facilities management space. Through this experience, they identified a gap in the market – the sector needed a new event focused on delivering strong content rather than just exhibition floor space.
With deep industry knowledge and established audience connections, they were perfectly positioned to launch Facilities & Estates Management Live. But there was one significant challenge – they’d never organised an event of this scale before.

Launching a first-time event brings unique pressures, especially when you’re learning the exhibition supply chain from scratch. KPM anticipated a variety of different challenges:

- No previous event experience: Having never organised an event of this scale, the team were new to the complex network of suppliers an exhibition requires – venues, registration providers, AV, stand builders, graphics installers, furniture providers. They expected challenges but weren’t sure where they’d come from.
- Getting registration infrastructure right the first time: For a launch event, the registration portal would be the first touchpoint for potential visitors. It needed to work smoothly, look professional, and integrate seamlessly with their existing website. There was no room for technical hiccups or clunky user experiences that might damage credibility before the event even opened.
- Data as a planning tool: As publishers, KPM understood the value of audience data. They needed registration systems that could capture detailed information about attendees – demographics, areas of interest, purchasing power, key responsibilities – so they could tailor content to the people actually coming through the door.
- Scalability concerns: They’d deliberately chosen the smaller Gallery Hall at the Business Design Centre to “walk before running”. But as interest surged and they sold out exhibitor floor space six months before the event, they needed registration systems that could handle unexpected growth without breaking.
- Onsite confidence: With a small team stretched across multiple event responsibilities, they needed onsite registration support they could trust completely. The front desk couldn’t become a problem area demanding constant attention.
